Google has brought a couple of much-needed features to Google Drive, including a solution for the age-old dilemma of how to send extremely large files. Gmail users who’ve opted into the new compose message style may now insert files directly from Google Drive, the company’s free online storage service. For files you’ve already stored online through Google Drive, this is basically a shortcut for sharing them with other people. (The new tool also lets you upload files directly to Google Drive from within Gmail before attaching them.) Google Drive attachments can be much larger than standard e-mail attachments. The size limit for attached files through Google Drive is 10 GB, compared to 25 MB for regular attachments. So essentially, Google has tackled a classic file-sharing frustration: By sending a file through Google Drive, you needn’t worry about whether the attachment is too large to go through. Although other cloud storage services, such as Dropbox, can also help with sharing large files, Drive’s integration with Gmail makes for a simpler solution because you never have to leave the compose window to add a file. You can upload files to Google Drive through the web or by installing the desktop app, which lets you drag and drop files using your PC’s file system. Google The other big improvement for Google Drive is the ability to edit spreadsheets using Drive’s iOS or Android apps. Users can edit text by double-tapping on any cell, and can also change fonts, resize columns and sort data. Google added document editing for Android last February, and for iOS last September, but spreadsheets have been read-only until now. Still missing, though, is the ability to edit Google Drive documents offline through its mobile apps. Offline editing is supported on PCs using Google’s Chrome browser, but for now only offline viewing is supported on Drive’s mobile apps. Also, it’s a bit surprising that Google Drive attachments in Gmail aren’t yet available on mobile devices. Given that wireless bandwidth is more precious on smartphones, the ability to attach a file without

Today Microsoft announced its foray into the cloud with Office 365, a line of collaborative Microsoft Office-like tools that users can access on the web. The service aims to minimize the number of users jumping ship over to Google’s free cloud services (i.e. Google Docs) while enticing business owners with the ability to streamline their productivity across Microsoft products. It’s relatively inexpensive at $6 per user per month for small businesses, and it has a host of attractive options that should prove handy to any company. Here’s a quick rundown of what Office 365 offers so you can judge if it’s the right fit for you. Productivity and Collaboration Office 365 provides different web apps that allow users to edit Microsoft Word, Excel, PowerPoint and OneNote documents from their browsers. One feature called SharePoint is a team site that lets multiple users work collaboratively on the same document at the same time. For example, if you’re building a PowerPoint presentation, one user can work on the text while another can build a chart right from their respective browsers. Here’s an example of what an Excel document would look like: Microsoft says that users will be able to access Exchange Online from the iPhone, Android phones, Symbian phones, BlackBerry smartphones (touting push notifications), Windows Mobile and Windows Phones. The obvious advantage of this that it will sync your scheduling across all your devices, meaning that you won’t have to re-update meeting times on your desktop calendar, then on your phone, etc. The service is compatible all the way back to Office 2007, but users with older software are out of luck. (story continues on next page…)

Could it be true that Microsoft plans to launch its next version of Office with Facebook chat? It’s possible. According to a job posting found by ZDNet, Microsoft might have its sights set that way. The next version of Microsoft’s office suite is Office 15, and no one is quite sure if it’ll find its way bundled with the next incarnation of Windows. Still, it might not come out until 2013. However the integration of social media is no surprise. Microsoft has been quick to respond to ever-growing trend of cloud-based computing, adding more internet-related features to Microsoft Office 2010. Last year, Microsoft launched Docs.com to compete with Google Docs. (Whether or not it’s been widely adopted is another story altogether.) The Google-based service also just released a chat feature earlier this week as well. This much is clear, though: if you want to spearhead the Microsoft team, the position is still open.
The mundane world of document editing is about to get a little more lively with discussions in Google Docs. Although Google Docs previously allowed collaborators to comment within a document, this overhaul lets users reply to other comments and edit their own remarks, with a timestamp and profile image appearing alongside each comment. When a discussion has run its course, users can now hide the thread from the main document view by marking it as “resolved.” All conversations can be reviewed by clicking the “discussions” button near the top-right corner of the screen. Another new feature is e-mail notifications. When writing a comment, user can send an e-mail of the conversation by typing “@” followed by an e-mail address. The recipient can then respond to the discussion by e-mail or jump into the document itself. Fortunately, Google Docs’ new discussion system is compatible with other word processors. After downloading a test document as a Microsoft Word file and loading it in OpenOffice, the thread appeared as a series of notes in the margins, so users should have no problem delivering a conversation to someone who isn’t living in Google’s cloud. Google’s rolling out discussions over the next few days to all users with personal Google accounts.

If you enjoy subtle jabs between Google and Microsoft, this round goes to Google. Per a company blog post: “Many of you already use Google Docs for editing your documents, but there are still many people that are tied to desktop applications and haven’t experienced the numerous benefits cloud applications bring.” Translation: “Some of you hoopleheads still use Microsoft Word, so we built a plugin that lets you save your documents to our servers.” The free plugin, Google Cloud Connect for Microsoft Office, goes far beyond simple online file synchronization, though. You’ll also be able to collaborate on Office documents with co-workers, view revision histories, and share documents with others. The Windows-only plugin works for Word, PowerPoint and Excel files. People you share files with don’t need to have Office to view or edit documents—they’ll open up in Google Docs, if need be. This is a smart move by Google, as the more time Office users spend playing around with features found in Google Docs, the more likely they may be to switch over to Google Docs full time somewhere down the line.
Is there anything that Google doesn’t do? Google Docs announced this week that it’s rolling out a new organizational tool for all those bridezillas called Google Weddings, just in time for Valentine’s Day. Despite its corny nature, Google Weddings could actually be a really useful tool–it allows users to do everything from plan budgets and manage to-do lists in Docs to make personal announcements with Picnik and share photo albums in Picasa. While we’re sure that not everyone wants to ditch snail-mail announcements in favor of the “romantic” or “champagne” themes for a wedding website on Google Sites, the Docs end of Weddings just might keep all those RSVPs, budgets, music lists, seating charts and to-do’s in line.
The past month has brought a bunch of new features and improvements to Google Docs, and yesterday, the Internet giant rolled out yet another when it announced that it is giving a “refresh” to its documents list. The “refresh” aims to make the Docs page easier to organize and navigate, and this is accomplished in a few different ways. For one, the Docs page now has a “home” feature that displays your most recent files, shared files and items that have been shared with you. All files are also searchable and can be sorted in a variety of ways–for instance, you can now search for or sort through videos only, spreadsheets only or private documents only. The new Docs also has a helpful new “preview” feature, which shows a bit of the file and includes information like when it was last viewed and modified. For photos and videos, this feature is even cooler, as it allows you to see the photos in a slideshow or watch the video within the preview box itself. But perhaps the best part of the Docs refresh is the “collections” feature, which is a combination of labels and folders. Collections act like folders, but a file can be in more than one collection at once. It’s a handy organizational tool and also a simple way to share full collections of files with anyone you choose. While these features are impressive, Docs still has a ways to go in terms of working out the kinks (and there’s still no way to play mp3s in the cloud!). Still, this is a step in the right direction.
Google Docs, the convenient tool for reading and writing documents and creating spreadsheets online, announced this week that it’s adding video sharing and playback to its ever-growing list of capabilities. This means that videos can now be embedded and played in documents themselves. Videos can be up to 1GB in size, and the file types supported include MPEG4, 3GPP and MOV files, WebM files, .avi, MPEGPS, WMV and Adobe .flv files. Videos are uploaded in a simple YouTube-like uploader, and once they’re stored online, they can be viewed with one simple click. One of the benefits of this new capability is its convenience. Instead of having to download a video and play it in a separate browser, users will now be able to stream the video within their browsers on Google Docs (provided that they’ve downloaded Flash). Another plus? Streaming video in Google Docs is also a great tool for working on group video projects, since previous versions of the video can be downloaded. And as fears of sharing too much on the Internet mount, Google Docs’ new video capability also provides a bit more privacy–videos can be streamed and shared in a document without becoming publicly available, as they are on YouTube and Facebook.
If you’ve ever tried to edit a Google Docs file from your phone, you may have said, “This is hard!” or “This, I do not like!” or “Do I like this? Not really!” In the past, you’d have to roll the dice by pulling up the full desktop version of a document and hope your phone had a nimble enough signal to handle all the Javascript magic going on behind the scenes. Google has now made the document editing process much more mobile friendly and is rolling the functionality out to iPhone, iPad and Android 2.2-and-above owners over the next couple of days. Aside from making edits much less cumbersome, If you’re collaborating on a document with someone else, that person will see your changes in near real-time. Imagine your colleague’s befuddlement; “I thought you weren’t in the office,” Mr. Pendergast will say. “I’m on a boat, sir!” you’ll reply. That’s showing initiative, and initiative means semi-annual incremental pay raises.
